An Executive Assistant’s job involves a lot of multi-tasking, time management and customer service. An Executive Assistant is to provide effective and efficient high-level executive support including the prioritisation of work, diary management, meetings management and communication, document production, quality assurance and governance. An Executive Assistant position requires an individual who can work under pressure and handle large projects with ease. This role requires someone who can prioritise tasks and manage executives’ expectations along with their own.

 

Job Description

 

·         Manage the day-to-day office tasks of the Managing Director

·         Maintain accurate calendars with an understanding of prioritizing important deliverables

·         Managing and organising calendars

·         Making travel arrangements Answering phones, screening calls and directing to the appropriate person or department

·         Taking notes at meetings

·         Sending out mail and answering email requests promptly

·         Sorting incoming mail into categories (e.g., action required, no action required)

·         Creating presentations

·         Compiling market research information (e.g., gathering industry information)

·         Organising events like workshops or conferences.

·         Act as the first point of contact for both Executive Directors and Directors and, maintain the effective working of their offices in their absence.

·         Maintain the highest level of confidentiality and adherence to policies and procedures.

·         Manage diaries by scheduling, prioritising and managing appointments, travel

·         arrangements and papers for meetings

·         Managing correspondence, track incoming and outgoing correspondence and ensure replies are produced within the required timeframe.

·         Read and prioritise incoming correspondence and prepare draft responses as appropriate.

·         Ensure that cyclical and management deadlines for reports, reviews, budgets are met.

·         Establish and maintain systems and procedures to support the efficient running of the office

 

 

Qualifications

 

·         The ideal candidate must have minimum of Five years’ experience as an Executive Assistant in construction or manufacturing company.

·

·         Must be proficient with the use of Microsoft Office (Word, Excel, CRM), email management, and scheduling tools.

·

·         Must have a professional certification, such as Certified Administrative Professional (CAP) or Certified Executive Assistant (CEA).

·

·         Must possess strong communication skills both (Verbal & Written).

 

·         Must be accurate and pay close attention to details.
