OVERVIEW OF POSITION

This is an excellent opportunity for someone, preferably with experience in the travel industry, to join a rapidly growing and busy team. The ideal candidate should be capable of managing multiple projects simultaneously, primarily supporting the sales team by preparing proposals for both existing and potential clients. This diverse role involves close collaboration with both the sales and operations teams, focusing mainly on providing travel services for school sports tours to and from the UK, as well as occasionally across other areas of the business. The position will also require assistance with managing and updating the company CRM system and creating and executing marketing campaigns, so experience in marketing is highly desirable.

 

KEY FUNCTIONS OF YOUR JOB

Assist the sales team in writing and compiling sales proposals for new and existing clients, primarily in the school travel sector.

Support the sales team in transitioning quotations to operations once bookings are confirmed.

Collaborate with the sales team to manage reporting and maintain the CRM system for tracking proposals (submitted, won, lost) for monthly updates and quarterly review reports.

Work with the sales team to assess existing products and help develop new offerings for clients while identifying new suppliers (such as DMCs).

Contribute to and maintain the client database/mailing list in partnership with the sales team.

Provide marketing support by assisting in the content creation and compilation of monthly newsletters, as well as relevant content for social media platforms.

Occasionally attend site visits and familiarisation trips to discover new products.

Perform additional administrative tasks to support the sales team as needed.

Always maintain a professional demeanour when working with colleagues.

Proactively seek out new opportunities for the business.

 

PRINCIPAL ACCOUNTABILITIES AND RESPONSIBILITIES

CLIENT RELATIONSHIPS

Create high-quality proposals for Team Travel Management’s clients (and any other emerging brands) based on the brief provided by the sales team or client.

Finalize itineraries for clients after bookings are made, working in conjunction with the sales and operations teams.

Follow up on all client proposals while maintaining progress reports for management.

Ensure client expectations are met at the highest service level, demonstrating excellent communication from the initial client contact through to post-event feedback.

Regularly review and improve service quality and product diversity.

Adhere to agreed turnaround times as per client agreements.

 

TECHNICAL SKILLS

Previous experience with systems for compiling proposals and drafting itineraries would be advantageous.

Involvement in the content (and, where applicable, design) of websites, brochures, and mailings.

Ensure all correspondence, documentation, proposals, and presentations are delivered accurately and on time.

Follow the guidelines set forth by the Operations Manager and Operations Director, complying with various stakeholder requirements (e.g., ABTA, ATOL, STF, LOtC).

Familiarity with customer needs and products.

Learn and understand company policies and procedures.

Proficient in Microsoft Office applications, including Excel, Word, and PowerPoint.

Adhere to administrative processes as specified by the company.

Manage documentation for all groups, including itinerary planning and client documentation.

Actively seek ways to improve margins within the business unit where possible.

Maintain complete confidentiality of all company intellectual property.

Organize folders in Dropbox as required, ensuring all documents are filed appropriately.

Follow best practices consistently to ensure uniformity.

Involve yourself in the content (and, where applicable, design) of all websites, brochures, and mailings.

Attend site visits and familiarisation trips as required, working on-site at events or tours to deepen your knowledge and understanding (sometimes over weekends or bank holidays).

Collaborate with the Revenue Director to identify your training needs and establish appropriate peer or manager mentoring or external training.
